Summary
As a Qualifications & Exams Officer, you are to ensure registration of learners ALL on the relevant qualifications, end point assessment and exams are processed in a timely manner and ensure systems and process are adhered to.
Registrations of Learners
- To register learners with the relevant awarding body as instructed by Operations Manager or deputy.
- To keep records of all registrations for audit purpose and proof for ESFA.
- Write the purchase orders for all registrations, get them signed and passed to finance.
- Liaise with tutors and awarding bodies to solve queries in a timely manner.
- To inform tutors and managers when registrations have been completed and where required, add the registration number to the learner’s OneFile account.
- To claim and download certificates when instructed by the relevant member of staff.
- Ensure learners receive their certificates at the end of the course or pass to tutors to be distributed.
Exams
- To book learners for exams as instructed with the relevant awarding body, adhering to strict timescales.
- To keep an accurate record of all exam registrations.
- Print out all necessary paperwork for exams.
- Paper exams received through the post, ensure are booked in and store in the safe.
- To organise invigilators for the exams and ensuring all documentation is in order for the exam.
- Ensure paperwork after the exams is checked either by yourself or arrange 2nd check by another member of staff.
- Ensure paper exams and supporting documentation are posted out the same day of the exam. Exams that need to be collected by Royal Mail must be arranged the same week of the exam.
- Check the awarding bodies for exam results and pass the information to the relevant Tutor.
- Book exam room and ensure room is tidy and exam equipment is in order.
- To liaise with tutors and learners, communicating exam details and requirements.
- Follow up learners who have haven’t attended exams with tutor and learner and rebook.
- Ensure all exams are JCQ compliant.
EPA Registrations
- Register learners as instructed on the relevant EPA portal in a timely manner.
- Keep accurate records for audit.
- Complete purchase order and pass to finance
To provide back support in reception when required.
